Running a certified training center is far more than managing training

A DGERT-certified training center — DGERT being Portugal's official training-provider accreditation body — operates, at the same time, as three different organizations: a commercial company that captures and closes enrollments, a pedagogical entity that manages cohorts, trainers and internships, and a regulated organization that has to prove compliance. Most software handles one of these roles well — and ignores the other two. That is why so many centers end up living in parallel Excel spreadsheets.

1. DGERT compliance isn't an "extra field"

The accreditation requirements aren't optional, nor are they solved with a notes field. They have to live in the workflow, from the first contact to the issuing of the certificate:

  • GDPR authorizations specific to training providers, collected and logged with the date and the method of collection — a plain "I have read and accept" is not enough.
  • A complete technical-pedagogical record: interview script, insurance form, health responsibility declaration, payment plan.
  • The validity of identification documents verified before enrollment is allowed to proceed.
  • Financial validations that link receipts and invoices to enrollments, to support the accreditation reports.

A generic CRM has no idea these obligations exist. When an audit comes around, the team is left hunting for documents scattered across folders and spreadsheets — exactly the scenario that accreditation is meant to prevent.

2. Sales and academics are the same team

At a training center, whoever captures the lead is often the same person who handles the enrollment, the invoicing and even the collections. Separating the sales pipeline (in the CRM) from academic management (in another system, or in Excel) forces you to re-enter the same data several times — and every manual copy is a chance for error.

The ideal is the opposite: the lead comes in, is qualified, and when the sale closes the enrollment is created automatically with the data already filled in — course, location, delivery mode, payment plan. Zero re-entry.

3. Cohorts, locations and seats — at scale

A center with several locations has dozens of cohorts running simultaneously, each with its own course, schedule, delivery mode and number of seats. Managing this by hand is unworkable. The trainee should be placed automatically in the right cohort — the one recruiting for that course, location and schedule, respecting the available seats — and the cohort should follow a clear lifecycle: recruiting → confirmations → started → completed.

4. Invoicing, collections and internships don't live outside the system

This is where Excel fails most expensively. A center's invoicing involves Multibanco references, per-enrollment payment plans and reconciliation with accounting. When a payment fails, a collections process opens that escalates in stages — and that, ultimately, can block access to training. Then there are the internships: placement at host organizations, with an auditable record of every contact. All of this is tied to the same enrollment; handling it in separate systems breaks the chain.

The cost of "getting by" with Excel and a generic CRM

  • Accreditation risk: documents and authorizations scattered around, hard to produce in an audit.
  • Hours lost copying data between the CRM, the spreadsheets and accounting.
  • Uncollected money that slips away because there is no structured collections process.
  • Blind decisions: without centralized data, it is hard to know which courses fill up, which locations are profitable and where money is being lost.
